Record Center/Transportation Team Member

Job Type: Full Time
Education Level: High School or Equivalent
Career Level: Entry Level
Salary: $12.00 – $16.00/hour based on experience

The ideal candidate will be responsible for processing customer requests in house for outgoing delivery, securely transporting media and hard copy to and from customer sites, processing incoming records through staging & on the shelf storage, and scanning labels or other work orders.

Responsibilities Include:

  • Process customer requests by picking items from a printed list and preparing them for outgoing delivery.
  • Load trucks with records while matching items up to work orders.
  • Processing incoming records through staging and on the shelf for storage.
  • Go onsite to customer locations to pick up or deliver boxes while checking items against a transmittal list and maintaining neat and accurate paperwork on all transactions.
  • Ensuring that all incoming and outgoing records are clearly labeled and identifiable from 5 feet.
  • Assisting customers in creating transmittal list when necessary.
  • Pick and label boxes for destruction following the standard Data Vault Procedures using a printed list.
  • Unload and distribute records and paperwork to proper areas.
  • Keep driver’s log of all stops with time and detail data.
  • Able to use hand held scanner for pickup and delivery including daily reconciliation of route.
  • Keep vehicles clean and report any areas that need attention including need for oil changes or other vehicle handling issues.
  • Knowledge of daily routes with acceptable benchmarks met.
  • Pick up or deliver Rush Orders in a timely fashion and/or complete runs for Records Center upon request.
  • Assist RC/ Transportation Team Leader and RC Coordinator on tasks as needed.
  • Assist in the vault or other areas on weekends and holidays when needed.
  • Willingness and ability to assist in other areas of Operations upon request.
  • Must understand confidentiality and security requirements of items handled.

Required Education, Experience & Skills:

  • Ability to lift up to 80lbs repeatedly

Document Imaging Specialist

Job Type: Full Time
Education Level: Associates Degree or Higher
Career Level: Associate
Salary: $12.00-15.00/hour

This document imaging position is responsible for preparing and scanning paper documents for conversion to electronic images, as well as data entry and quality control.  The ideal candidate must be friendly, professional, outgoing, and service oriented. Quality, accuracy, and attention to detail are a must.  A high degree of technical knowledge and skill is required.  Troubleshooting, problem solving, and reasoning skills are required.  Must demonstrate being a quick learner, motivated, self-starting, possess a good work ethic, and demonstrate a desire for growth.

  • Preparing, scanning, and indexing documents
  • Managing data – exporting to specific formats, or importing into imaging projects
  • Perform quality control procedures
  • Scan on demand – processing time sensitive files for quick access for clients
  • Paperflow scanning software – understanding features and functions of scanning, indexing, and QC
  • Papervision Enterprise software – understanding features of viewing/retrieval software
  • Set up new projects, user IDs and passwords, user rights, and attaching users to projects
  • Scanners – cleaning, replacing consumables, daily care
  • Troubleshooting and problem solving to resolve issues
  • Customer interaction – handling customer concerns
  • Assist imaging team lead and sales team with time studies and pricing for new imaging projects
  • Create work orders to bill for services
  • Maintain inter-office paperwork – box tracking logs
  • Oversee daily production, direct staff, and report to team lead
  • Research new and improved imaging procedures and methods
  • Implement and train staff on new software and/or procedures
  • Have the willingness and ability to assist in other areas of operations upon request.
  • Work with team members from other departments to accomplish tasks.

Required Education and Experience:

  • Associate’s degree in business or related field

Customer Service Representative

Job Type: Full Time

Position Summary:

Primarily responsible for providing effective customer service for The Data Vault customers by utilizing excellent, in-depth knowledge of company products and service lines.

General Description:

 This position interacts with customers to provide and process information in response to inquiries, concerns, and questions regarding all company service lines. Also, the CSR is charged with making sure that all customer requests are promptly and correctly handled as well as supporting the Operations and Sales Department with any administrative or communication duties.

Position Responsibilities:

  • Interact with customers both  in person and via phone, email, fax, web chat
  • Provide friendly assistance to visitors based on company procedures
  • Provide timely and accurate information to incoming customer order status and product knowledge requests
  • Create work orders based on customer information and established departmental policies and procedures.
  • Perform quality control of work orders created by others in Operations Department to ensure accuracy
  • Maintain the organization of inter-office paperwork and filing in a clean and neat fashion
  • Maintain information in the Customer Relationship Management software (Pipedrive)
  • Assist in transition of new customers from Sales to Operations
  • Sign up and instruct customers on use of the online portal (DataOnCommand)
  • Willingness and ability to assist in other areas of Operations upon request
